This is a frustrating error because it's so obviously wrong — you can see the paper sitting right there. But the printer has a small sensor or rubber feed roller that's telling it a different story. The fix is usually straightforward.

Start With the Basics

Before assuming a hardware problem, try these quick checks:

  • Remove and reload the paper. Fan the stack, square up the edges, and slide it into the tray so the paper sits flat and centered. Make sure the paper guides hug the stack without being tight enough to bow the paper.
  • Don't overfill the tray. Every tray has a maximum fill line — usually marked with an arrow or triangle. Overfilling causes misfeed errors that look like out-of-paper errors.
  • Check the paper size setting. If the paper tray is loaded with A4 but the print job is set to Letter (or vice versa), some printers report this as an out-of-paper condition. Match the paper size in the driver to what's actually loaded.

Clean the Paper Feed Rollers

Rollers pick up paper from the tray. Over time they get coated in dust and paper residue, become slippery, and fail to grip the paper — triggering the sensor. To clean them:

  1. Power off the printer and unplug it.
  2. Remove the paper tray completely.
  3. Look inside where the tray was. You'll see one or more rubber rollers.
  4. Dampen a lint-free cloth with plain water (wrung out so it's barely damp) and firmly wipe the rollers while rotating them by hand.
  5. Let them dry fully (about 10 minutes) before reinstalling the tray and testing.

Run the Printer's Built-In Paper Feed Cleaning

HP, Epson, and Canon all include a roller-cleaning utility. On HP printers, open HP Smart or HP Printer Assistant and look under Maintenance for Clean Paper Pickup Rollers or Clean Paper Feed. On Epson printers, open the printer utility and choose Paper Guide Cleaning.

Try a Different Paper Type

Very thin paper, very thick paper, or damp paper can confuse the pickup rollers. Try a fresh ream of standard 80 gsm (20 lb) copy paper and test again.

If the rollers are worn smooth and cleaning doesn't help, replacement roller kits are available for most popular printer models. Ask us if you'd like help identifying the right kit.
